Enabling Voicemail-to-Email Notifications

Never miss a voicemail — have 3CX deliver messages directly to your email inbox as audio attachments, complete with caller ID and timestamp.

What Voicemail-to-Email Does

When voicemail-to-email is enabled, 3CX automatically sends you an email every time a new voicemail is left on your extension. The email includes:

  • The caller's phone number (or name, if in your contacts)
  • The date and time the message was left
  • The duration of the voicemail
  • The audio recording as a .wav file attachment (if you choose "Send recording")

This means you can listen to voicemails on any device with email access — laptop, phone, or tablet — without logging into the phone system.

Enabling Voicemail-to-Email in the Web Client

  1. Log in to the 3CX web client in your browser.
  2. Click your avatar or name in the top-right corner, then select Settings.
  3. Go to My Profile, then scroll to the Email section (sometimes labelled Voicemail depending on your 3CX version).
  4. Enter your email address in the Email field if it is not already filled in.
  5. Tick the checkbox labelled "Send email on new voicemail" (or similar wording in your version).
  6. Choose your delivery option — see below.
  7. Click Save.

If the voicemail email option is greyed out or missing, the email server has not been configured on your PBX. Contact DVGVoIP to have this enabled — it is a system-level setting only an administrator can change.

Delivery Options Explained

Most users prefer Send recording as it gives full flexibility to listen and forward messages from any email client.

Auto-Delete After Email

To keep your voicemail inbox clean, you can enable "Delete voicemail after email notification". When ticked, 3CX removes the message from the voicemail inbox once the email has been sent.

Only enable this if you are confident the email will always arrive reliably. If email delivery fails (e.g., due to a spam filter), the message will already be gone from voicemail.

Recommended practice: leave auto-delete off for the first few weeks until you are confident emails are arriving consistently.

If Emails Are Not Arriving

If you enabled voicemail-to-email but emails are not showing up, check these points:

  • Check your spam or junk folder. The email comes from the 3CX server address, which spam filters may flag initially.
  • Add the sender to your safe senders list. The exact "from" address will be in the email headers once one arrives.
  • Microsoft 365 users: check whether your organisation's mail flow rules or Advanced Threat Protection settings are blocking external senders or attachments from unfamiliar domains.
  • Google Workspace users: check the admin console under Apps › Gmail › Spam and blocked senders to confirm the 3CX domain is not blocked.
  • If none of the above apply, email support@dvgvoip.com — the issue may be on the PBX email server configuration side.
