Message Waiting Indicator (MWI)
Before diving into each method, it helps to know how 3CX alerts you to new messages. When a voicemail arrives:
- The voicemail lamp or LED on your desk phone lights up (usually red or amber).
- The 3CX web client shows a red badge on the voicemail inbox icon in the left sidebar.
- The 3CX mobile app shows a badge on the Messages tab.
- If voicemail-to-email is enabled, you also receive an email — see the Voicemail-to-Email guide.
Method 1 — Desk Phone
- Pick up the handset or activate the speakerphone.
- Press the Messages or Voicemail key (envelope icon), or dial
*99from your own extension. - Enter your PIN when prompted, then press
#. - Press
1to listen to new messages.
Playback controls during a message:
| Key | Action |
|---|---|
1 | Replay message from the start |
2 | Save the message |
3 | Delete the message |
4 | Call back the sender |
5 | Forward message to another extension (enter extension number, then #) |
# | Skip to the next message |
* | Return to the main voicemail menu |
For the complete list of every keypress including rewind, pause, and fast-forward, see the Voicemail Key Reference guide.
Method 2 — Web Client (Browser)
- Log in to your 3CX web client — your administrator will have provided the URL (typically something like
yourcompany.3cx.ca). - In the left sidebar, click the inbox / voicemail icon. A red badge indicates unread messages.
- Click on any message in the list to expand it.
- Press Play to listen directly in your browser — no download required.
From the web client voicemail view you can also:
- Download the message as a
.wavfile for archiving. - Delete the message using the trash icon.
- Call back the caller by clicking the phone icon next to their number.
The web client is the fastest way to manage voicemail if you use a softphone or work from multiple locations — no physical phone needed.
Method 3 — 3CX Mobile App
- Open the 3CX app on your iOS or Android device.
- Tap the Messages tab at the bottom of the screen.
- Tap Voicemail to see your message list.
- Tap a message to play it. Use the on-screen controls to pause, replay, or scrub through the audio.
- From the message, you can call back or delete directly in the app.
The mobile app is ideal when you are away from your desk and need to review messages without logging into a browser.
Method 4 — Email (If Enabled)
If your administrator has enabled voicemail-to-email, messages are also delivered to your inbox as .wav file attachments. This lets you listen on any device with an email client. See the Voicemail-to-Email guide for setup instructions.
