How to Add a New Employee Extension

Adding a new employee extension takes about 2 minutes in the 3CX management console. You’ll need administrator access — contact DVGVoIP if you need your admin credentials.

Step 1: Log in to the 3CX Management Console

Your DVGVoIP team will have provided you with a management console URL (e.g., https://yourcompany.3cx.ca). Log in with your admin username and password.

Step 2: Navigate to Extensions

In the left sidebar, click Users (or Extensions in older 3CX versions).

Step 3: Add a New Extension

Click + Add in the top right.

Fill in the required fields:

Leave other settings at their defaults for a standard user.

Step 4: Set a Voicemail PIN

Scroll down to the Voicemail section and set an initial PIN for the employee. They can change it after logging in.

Step 5: Save and Send Welcome Email

Click Save. Then click the Send Welcome Email button — this sends the employee an email with their QR provisioning code so they can set up the 3CX mobile app and desktop app.

Step 6: Assign to Ring Groups (Optional)

If the new employee should receive calls from your main number or a department queue:

  1. Go to Call Handling → Ring Groups in the sidebar
  2. Find the relevant ring group (e.g., “Main Office”)
  3. Add the new extension to the group members list
  4. Save

Provisioning a Desk Phone

If the employee is getting a physical desk phone:

  1. Plug the phone into your network
  2. In the 3CX console, go to the extension settings and click Phones
  3. Scan or enter the phone’s MAC address
  4. The phone will automatically provision with the correct settings

Note: Provisioning works automatically for supported phones (Yealink, Fanvil, etc.) that are on the same network as your 3CX instance or can reach it over the internet. Contact DVGVoIP if you run into issues with a specific phone model.
